Business Email Hosting: Security, Cost & NZ Compliance

Business email is more than a mailbox

Business email hosting provides mailboxes using your company’s domain, with administration and security features that depend on the chosen service. Compare it against how your team works: shared responsibilities, mobile access, calendars, document collaboration and the handling of customer information.

A professional domain helps present a consistent identity, but it does not automatically make messages trustworthy. Account security, staff practices and domain settings must support that identity.

Check identity, access and domain protection

Use individual accounts, appropriate permissions and MFA where supported. Assign ownership for new starters, role changes and departures. Protect privileged administrators and account recovery methods. Review shared mailboxes and forwarding rules so customer information is not sent to an unintended destination.

SPF, DKIM and DMARC help receiving systems assess messages claiming to use your domain. They should be configured and tested for every legitimate sending service. Do not change mail-related DNS records during a website move without understanding the existing email setup.

Compare full cost and recovery needs

Check the edition and licence basis, storage, support, migration effort, retention features and optional backup. Published vendor prices can vary with currency, tax, term and plan, so confirm current costs before purchase rather than rely on an undated comparison.

Retention and backup are not interchangeable. Define what must be retained, how deleted or corrupted information is recovered, who can request recovery and how that process is tested. Understand export and account-closure arrangements before committing.

Plan a controlled migration

Document domains, accounts, aliases, shared mailboxes, calendars, sending applications and current DNS records. Agree access, timing, user communication, testing and rollback before changing production. Confirm receiving and sending behaviour, not merely that the new account can sign in.

Review provider contracts and information handling using official privacy guidance where relevant. No hosting plan alone guarantees legal compliance. Bestcomm can discuss business email requirements as part of managed IT, hosting and cybersecurity planning.

Common questions

Is mailbox retention the same as backup?

What should a migration include?
